How to recover failed subscription payments: the order
This guide covers subscriptions billed by a SaaS billing system such as Stripe Billing, Chargebee or Recurly. The order matters, because each step costs less than the next.
- Step 1: turn on automatic retries. In Stripe, set Smart Retries under Billing, Revenue recovery, Retries. Chargebee and Recurly have their own dunning settings.
- Step 2: turn on customer emails for failed payments, expiring cards and renewals.
- Step 3: send customers to a card-update page. In Stripe the emails can link to a hosted page or to your own.
- Step 4: choose what happens when recovery fails. Stripe offers canceling, marking unpaid, leaving past due or pausing the subscription.
- Step 5: measure failed payments and recoveries over a few billing cycles.
- Step 6: add a paid layer only for the gap that remains.
Why payments fail and what fixes each
- Expired or reissued card: an email with a card-update link. Stripe says it updates card details automatically when a customer gets a new number, and Visa Account Updater lets issuers, acquirers and qualified merchants exchange updated numbers and expiration dates for recurring payments.
- Insufficient funds or a temporary decline: retries at different times. Stripe's Smart Retries choose the times with a model, and its recommended default is eight tries within two weeks.
- Hard decline, such as a lost, stolen or closed card: no retry works. Stripe keeps scheduling retries but runs them only after a new payment method is added, so the customer must update the card.
- Authentication required: the customer must confirm the payment. Stripe can email a link for payments that need 3D Secure.
Keep retries inside card network limits
More retries are not better. A Nets support article, updated May 12, 2026, says Visa charges fees from the 16th reattempt of a declined transaction within 30 days, and that some decline codes must never be retried. Chargebee's documentation warns that many retries can raise a merchant's decline ratio and that breaking card network rules can get a gateway account blacklisted.
Stripe's custom schedule allows up to three retries, and its recommended Smart Retries default is eight within two weeks, both under that limit. If you add a second tool that retries, add the counts together.
Write emails that get the card updated
- Say what failed and give one action: a link to update the card.
- Stripe sends a failed payment email after each failure, an expiring card email one month before expiry and renewal reminders, each with a link to update the payment method.
- A dedicated tool can add more messages. Baremetrics Recover's default sequence has seven emails, plus SMS and expiry reminders 30 and 7 days ahead. Churn Buster describes email and SMS, and Churnkey describes email, SMS and in-app campaigns.
- Run one dunning tool at a time. Baremetrics' own comparison page advises this so customers do not get two sets of reminders.
- Consider keeping accounts billed by invoice or handled by hand out of automated flows. Stripe sends no renewal reminders for invoiced subscriptions, and Recover can exclude segments such as manually billed accounts.
Measure what is left before you buy
Stripe's recovery analytics show payment failure rates, recovery rates and recent failed payments for top customers. For each billing cycle, record how much revenue failed, how much came back and how many customers left over a failed payment.
Use one definition of recovery rate everywhere. Baremetrics divides recovered revenue by recovery attempts, which is a different base from recovered revenue divided by all failed charges. Churn Buster's pricing page describes a free Measure plan that analyzes any dunning tool on supported platforms. Baremetrics' figure of about 9 percent of MRR at risk is a vendor average, so use your own number.
When a paid tool is worth testing
A paid layer is worth a trial when the revenue left after retries and emails is large next to the tool's monthly fee. The break-even arithmetic turns a fee and your MRR into the share of failed revenue the tool must win back. The tools guide compares six options, and what Baremetrics is explains how its Recover add-on sits beside your processor's retries.
